Attending RootsTech: How to Make the Most of a Genealogy Conference

Attending a genealogy conference ranks high on many researchers’ to-do lists. RootsTech in Salt Lake City is one of the biggest and most exciting events in the field. The first time I attended a major conference I was both thrilled and overwhelmed. I tried to attend a session in every time slot for four days and spent the breaks in the vendor hall. I learned a lot, but by the end I was exhausted. Over the years I’ve refined my approach.

As I prepare my plan for RootsTech 2020 later this February, I’m sharing the strategies I use to get the most from a conference and enjoy the experience without burning out.

I always make a conference plan. Just as I don’t start research without a research plan, I don’t attend a genealogy conference without one either.

What goes into a genealogy conference plan for RootsTech 2020?

1. Lodging – Location matters

When possible, stay at a conference hotel or somewhere within short walking distance. That eliminates the need for a car, gives you a convenient place to rest between sessions, and can reduce stress. To lower costs, consider sharing a room. Use the hotel fitness center to counteract long hours of sitting.

2. Plan the lectures you want to attend ahead of time

Session descriptions are usually posted on the conference website in advance. Review those summaries and identify the talks you most want to attend so you can build a focused schedule instead of deciding on the fly.

3. Get the conference app

Download the conference app if one is available. It usually contains the session list, descriptions, speaker handouts, and a venue map—an essential tool for navigating large conference centers. Use the vendor list and map to note which exhibitors you want to visit.

4. Wear comfortable shoes

Expect to walk long distances between session rooms and around the exhibitor hall. Comfortable shoes make the day enjoyable; you’ll appreciate them after walking miles through the venue.

5. Bring genealogy “business” cards

Have simple cards ready to share with new contacts. Include your name, email, and key genealogy interests or surnames you research. Cards make it easy to follow up after the conference and connect with researchers you meet.

6. Visit the vendor exhibit hall during sessions

Exhibit halls are busiest between sessions. If you can swing it, explore the vendor hall while sessions are underway—vendors tend to be less rushed and you’ll get better answers and demonstrations.

7. Schedule breaks

Trying to attend every session back-to-back will wear you out. Build short breaks into your day—step outside, take a walk, or get a coffee. You’ll return refreshed and better able to absorb the next session.

8. Pack a water bottle and snacks

Keep water and healthy snacks on hand. Conference food can be expensive and limited, and having your own provisions keeps you energized and on budget.

If travel or obligations keep you home, you still have options to participate. Many conferences now offer virtual ways to attend and enjoy sessions from home.

9. Purchase the virtual conference pass

Check whether the conference offers a virtual pass or on-demand recordings. Virtual access lets you watch presentations and learn from speakers without traveling.

10. Take advantage of live-streamed sessions

Some conferences live-stream select sessions for free. These streams are an excellent way to catch talks from top speakers and sample content before committing to a virtual pass.
